When to use this script

Portal inquiries, website forms and walk-in follow-ups are the leasing office’s best leads, and they decay in days. This callback script exists for the first hour after the inquiry and for the resuscitation attempts after. It converts by doing three things fast: proving the call belongs to the inquiry, getting move date and budget on the table, and putting a specific tour slot on the calendar.

Two rules run underneath the whole script. First, the written occupancy, pet, deposit and screening standards are the only criteria that get quoted, and they apply to everyone identically, because 42 U.S.C. 3604(c) reaches spoken statements as much as ads. Second, the inquiry is the consent for the call, so the opener names it.

The structure

Provenance opener. Community name, the inquiry source, the unit type they asked about. Shoppers forget forms; the source line reminds them and separates you from the other five communities they contacted.

Price honesty. A range, not a tease, with one differentiator between tiers. Price shock is the top killer of leasing calls, and it is better absorbed in minute one than at the tour.

Move date. The gating fact. Availability answers change everything downstream, and the AI summary fields start with it.

Objection handling

“That is more than I saw online”

“That happens, because the listing sites age our photos and prices. “Can you just hold a unit without a tour?”

Depends on the community’s written policy, so the script answers from the sheet: “Our policy on holds is [policy], and it is the same for everyone. What I can do today is book the tour and, if you like the home, start the application on the spot so nobody takes it overnight.”

“I never filled out a form”

Believe them, apologize for the crossed wires, explain where the inquiry may have originated, offer the opt-out plainly, and log the outcome. Never argue with the person on the phone about their own memory. If they want no calls, that is a do-not-call disposition the same hour.

Missed-call and gatekeeper handling

Roommate applications often dial a third party first.
