Start with an eligible list, not a raw file
The work starts before anyone dials. A list source arrives as a CSV export from wherever you bought or built it: expireds from an MLS report, a FSBO list, a neighborhood farm pulled around a new listing or a recent sale, or a slice of your own past-client database. A CSV export is a file your team controls; it is not a native CRM or lead-provider integration, so inspect representative columns with synthetic values in the sandbox, then confirm the production import before a live session.
Eligibility is a separate step from import. Before a list is released, someone accountable should confirm that the source is one the campaign may call, that federal do-not-call scrubbing has been done, that consent records exist where they are required, and that the applicable calling windows are known for the contacts in it. DialBreeze enforces the internal policy you configure, including internal do-not-call handling, per-lead quiet hours and attempt caps. Prepare the number, policy and operator
Connect the customer's own Telnyx account and an authorized outgoing number using the supplied setup instructions. Confirm browser audio with an approved test, then check the selected list and supported calling settings. Keep the campaign's eligibility and recording decisions available to the operator.
Review the outcomes the interface actually supplies and decide how your team will use them consistently. Do not assume an arbitrary custom disposition editor or an automatic CRM mapping exists. A stop request, a wrong number, a requested callback and a changed listing status are different facts and should not be hidden in the same generic note.
Where voicemail is approved, confirm the selected recording and its delivery on test data. A message about an expired property should not claim a prior relationship, a prepared market analysis or a buyer inquiry unless those facts are true. See voicemail evaluation and list preparation.
Match the preparation to the actual relationship
Before an expired-listing call, verify the relevant property status and ask the responsible broker how any current representation affects contact. A stale export is not proof that the property is still expired or that the seller is available for solicitation.
Before a for-sale-by-owner call, review the actual listing information and the campaign's eligibility. A public phone number does not establish consent. Prepare a truthful reason for the call rather than disguising an agent solicitation as a buyer inquiry.
For a neighborhood update, use a real, verified event without implying that your team represented a transaction it did not. For an existing contact, read the recorded relationship and current contact preferences; an old CRM record does not guarantee a warm or permitted call.
DialBreeze supports up to three concurrent lines, but the appropriate setup depends on the verified answer-handling behavior and the operator's capacity. A context-heavy callback may call for more preparation rather than more attempts. AI is used after recorded conversations, not to make the pitch for the operator.
Make the outcome match the answer
Use the supported outcomes and notes to distinguish the branches your team encounters. Do not assume that an arbitrary custom disposition editor or automatic cross-system update is available.
- Appointment: record agreed details and distinguish a request from a confirmed meeting. Identify the responsible person and confirmation path.
- Requested callback: capture the actual time or condition and recheck current eligibility before acting.
- Relisted or currently represented: update the context and pause the current solicitation workflow for broker review. Do not automatically schedule another prospecting attempt.
- No interest: record the response without inferring consent to a recurring cadence.
- Wrong number: record the mismatch and hold the affected identity for correction.
- Stop request: use internal DNC and coordinate restrictions in other affected systems.
Voicemail, busy and no answer are attempt outcomes rather than completed conversations. Apply the approved policy before a later attempt.
A next step needs an owner and a result
Save the supported outcome, note and follow-up task on the correct record. For an agreed action, confirm the responsible person, date and actual completion path. For a stop or unresolved identity, make the restriction or hold clear rather than creating a generic callback.
Test the supported CRM or teammate handoff with synthetic records during evaluation. Confirm actual production import, export and transfer arrangements separately. A CSV is not a native integration or proof that every field is synchronized.
Identify what must survive: contact identity, source reference, outcome, agreed next step and restrictions. Verify it in the destination rather than assuming that a task created in one screen completed an external action.
Give every caller a boundary and a reviewer
A caller needs an approved role, truthful introduction, escalation contact and a usable list—not merely a login and a dial target. Confirm with the responsible broker or qualified reviewer what the caller may discuss, especially when the caller is not licensed.
Use the operator's dispositions and notes to review the work, and listen to available, permitted recordings for important questions. Missing audio or an incomplete AI result is a gap to investigate, not a reason to invent what happened. After-call summaries help choose what to inspect; they do not make every record complete.
Set a review cadence and ensure that agreed callbacks, stop requests and listing-status changes reach the person responsible for the next action. Confirm the actual account permissions rather than assuming a particular role model. The VA playbook describes a working supervision process.
Where another setup may fit better
DialBreeze fits a human-operated calling workflow with customer-owned Telnyx telephony. It is not the right default for a team that requires an autonomous AI conversation agent, a vendor-supplied lead and minute bundle, or a native CRM integration that has not been demonstrated.
For a larger operation, confirm required administration, routing, reporting and support rather than inferring a maximum team size or workforce-management suite from the Studio name. Its operator setup is sized at onboarding, not an unconfirmed seat count.
Keep your existing process until the required handoff and data-handling arrangements are clear. An attractive seat price does not compensate for losing the outcome, contact preference or owner of the next task.
Count the stages you can actually support
Track attempts, distinct contacts, human answers, agreed next steps and appointments set as separate measures. List quality, timing, operator work, number treatment, audio and system behavior can all affect what you observe. Do not attribute a change to the dialer alone when the list or staffing changed too.
An appointment set is not an appointment held or a closed transaction. A recording and an AI summary are processing outputs, not additional sales stages. Build a matched call-level cohort before deriving a rate that depends on those records being connected.

Keep unresolved requirements visible
The customer owns campaign eligibility, applicable consent, registry review and calling windows. Recordings and after-call outputs can be unavailable, delayed or incorrect. Answer classification and concurrent-call handling need evaluation. Use synthetic data in the trial and confirm production transfer requirements separately.
